Expression of Interest (EOI) to Host Australia Day Event

Overview

Colac Otway Shire Council invites Expressions of Interest (EOI) from community groups, service clubs, businesses, or not-for-profit organisations to host an inclusive, family-friendly community event in the shire on Australia Day, 26 January 2026.

This is an opportunity to bring people together in a spirit of community, inclusion, and reflection. As part of the event, Council will independently deliver the official civic elements of the day - including a Citizenship Ceremony and Community Achievement Awards. These formalities will complement the broader network of community-led activities on the day.

We welcome EOIs from groups interested in hosting the event in any township or locality within the Colac Otway Shire. Multiple activities or events in the township may be supported to ensure local communities can celebrate in ways that are meaningful and accessible to them.

What We’re Looking For

We are seeking a capable and enthusiastic host to coordinate welcoming, inclusive, and family-friendly activities that reflect the diversity and values of our region. Events should:

  • Celebrate community spirit and shared values.
  • Provide a warm welcome to new citizens and their families.
  • Offer inclusive, low-cost entertainment and activities.
  • Be accessible, culturally respectful, and welcoming to all.

Suggested Activities

To encourage broad participation and engagement, consider including:

  • Free or low-cost community BBQ (including vegetarian options)
  • Local market stalls (arts, crafts, produce)
  • Live acoustic music or school bands
  • Traditional games (e.g. thong throwing, sack races)
  • Face painting and children’s activities
  • Trivia or storytelling tent
  • Picnic zones with BYO seating

Host Responsibilities

Selected hosts will be responsible for:

  • Planning and delivering the community event program.
  • Coordinating volunteers.
  • Promoting the event (with Council support).
  • Ensuring accessibility, safety, and inclusivity.
  • Liaising with Council on logistics, permits, and scheduling.

Colac Otway Shire Support

Council will provide:

  • Delivery and management of required infrastructure for the civic program (e.g. stage, AV etc.), which will be available for shared use throughout the event.
  • Selection of a central location for the official civic program (including the Citizenship Ceremony and Community Achievement Awards), to be held in consultation with the successful host organisation.
  • Coordination and delivery of the Citizenship Ceremony and Community Achievement Awards.
  • Potential financial support for community activities, assessed based on the strength, scope, and community benefit demonstrated in the proposal.
  • Assistance with permits and approvals.
  • Official Australia Day branding and materials.

Please submit your EOI including:

  • Organisation or business name and contact details.
  • Brief description of your organisation and community involvement.
  • Proposed event plan (including schedule, activities, and indicative site map).
  • Relevant experience in hosting public events.
  • Staffing and volunteer plan.
  • Estimated budget (including any in-kind support and funding requested).
  • Risk management and safety considerations.
  • Potential regulatory requirements eg: road closures.
